Review request and project insights

Build dashboards and use the Insights tab to report on your requests and projects.

Written by Asia Ali

Cognota gives you two ways to review and communicate the story of your intake requests and project work: Flexible Dashboards and the Insights tab. This article walks you through both so you can choose the approach that best fits your reporting needs.

Who can do this:

  • Flexible Dashboards: Admins can create and manage dashboards. Admins can also share dashboards with non-admin users, who can view and interact with them in read-only mode.

  • Insights tab: Available to Admin users only.

Choose where to review insights

  • Flexible Dashboards give you a customizable, shareable view of your data. You can combine request and project insights with task, capacity, and user data all in one place, tailored to exactly what you need to report on.

  • The Insights tab provides a pre-built view of your request and project data, available directly from the left navigation. While this view isn't customizable, it covers a comprehensive set of metrics out of the box and requires no setup.

Note: The Insights tab and Flexible Dashboards currently coexist in Cognota. Over time, Flexible Dashboards will become the primary home for all reporting. We recommend building your reporting workflows in Dashboards to take advantage of customization, sharing, and richer data options.

Filter a dashboard

Apply filters across the entire dashboard to focus on a specific time period or team:

  1. Click Filter at the top of the dashboard.

  2. Choose a timeframe and/or team(s).

  3. Click Apply. All cards update to reflect your selection.

Drill into the data

Every insight card is interactive. Click into any card to view the underlying record-level data behind the summary metric. From the drill-through view, you can also export the full data set as a CSV for further analysis.

Export a dashboard

Export your dashboard or individual cards to share insights with leadership or business partners:

  • Export full dashboard as PDF: use the three-dot menu (⋯) in the top-right corner of the dashboard › Export PDF.

  • Export a single card as PDF: use the three-dot menu on the card › Export PDF.

  • Export card data as CSV: use the three-dot menu on the card › Export Data.

Note: PDF exports only capture what's currently visible on screen. If a card contains scrollable content, use the CSV export option to capture the complete data set.

Share a dashboard

Dashboards can be shared with other members of your organization, so stakeholders can access request and project insights without needing full Admin access.

  1. Open the dashboard you want to share.

  2. Click the Share button.

  3. Search for and invite users from your organization.

  4. Confirm permissions (view-only by default).

  5. Click Save. Invited users receive an email notification with a direct link.

For recipients: Shared dashboards appear in the Dashboards section of the left navigation with a Viewer permission label. Viewers can interact with filters, drill-throughs, and PDF exports.
