Email Notifications

This article provides a summary of the Email Notifications that Cognota will send to your users.

Account Setup

New users will receive two email notifications when they are invited to join Cognota.

  • The first will state that they've been invited to join Cognota and will need to set up their password.

  • Once they've set up a password, a second email will ask them to confirm their account.

  • Invitations for Business Users where the "Self-Registration" option is selected will look like this:

  • Users will receive an email when they request a password reset link.

Intake

  • Default Request Owner(s) will receive an email notification when a new request has been submitted using a form they own.

  • Users will be notified when they have been assigned or unassigned as a Request Owner.

  • Request Reviewers will be notified when they have been invited to review a request.

  • Requestors will be notified when the request is updated.

  • Both the Requestor and the Request Owner(s) will be notified of new comments on a request.

  • Users will be notified when they have been tagged in a comment on a request.

  • Requestors will be notified when their request is Approved, Waitlisted, or Declined.

  • Request Owner(s) will be notified when a Requester has submitted a cancellation request.

Projects

  • Users will be notified when they are assigned or unassigned as a Project Owner.

  • Users will be notified when they are assigned or unassigned as a Project Participant.


Project Participants will be notified when:

  • Project information has been updated.

  • Project status has been changed.

  • They have been tagged in a comment.

  • Project Owner(s) will be notified when users have been assigned or unassigned a task.

Tasks

  • Users will be notified when they have been assigned or unassigned a task.

  • Project Owner(s) and Task Assignee(s) will be notified when updates have been made to tasks.

  • Project Owner(s) and Task Assignee(s) will be notified when the status of tasks have been updated.

  • Task Assignee(s) will be notified three and one day(s) before a task is due.

  • Task Assignee(s) will be notified a day after a task is due.

  • Project Owner(s) and Task Assignee(s) will be notified when tasks are deleted.

  • Users will be notified when they are tagged in a comment on a task.

  • Task Assignee(s) will be notified when their tasks are deactivated/re-enabled

  • Task Assignee(s) will be notified when actual hours are added to their tasks.

  • Task Assignee(s) will be notified when their tasks are unblocked by the completion of others.

  • Creator(s) will be notified when their task bundle(s) have been updated or deleted.

Schedule

  • Facilitators will be notified when they have been assigned or unassigned a learning event.

Design

  • Users will be notified when they have been invited or uninvited from a design.

  • Users will be notified when they have been assigned an action item within a design.

Programs

  • Program Owner(s) will be notified when their program(s) have been updated or changed.

  • Program Owner(s) will be notified when their program(s) have been Closed or Deleted.

  • Project Owner(s) will be notified when their project(s) have been linked or unlinked to a program.


Please note: you can manage which email notifications you receive in your Notifications settings, but the content of these notifications cannot be further customized at this time.
