Manage email notifications

Turn individual email notifications on or off, see what triggers each one, and stop project notifications for participants.

Turn email notifications on or off

  1. Click your profile avatar in the top-right corner of any page.

  2. Select Notifications from the dropdown menu.

The Notification Settings page opens. All your email preferences are listed there by category.

How the settings work

  • Each notification has one checkbox. Check it to turn the notification on, and uncheck it to turn it off.

  • Changes save automatically. There's no Save button.

Note: You can choose which email notifications you receive, but you can't customize the content of the notifications at this time.

Account setup

Note: Account setup emails are sent by default and have no notification settings, so they can't be turned off.

  • Invitation: New users receive two email notifications when they're invited to join Cognota. The first says they've been invited to join and need to set up their password.

  • Verify your account: After they set up a password, a second email asks them to confirm their account.

  • Self-registration invitation: Business Users receive a self-registration invitation when the Self-Registration option is selected.

  • Password reset: Users receive an email when they request a password reset link.

Someone I didn't assign is receiving project notifications

If a user is getting email notifications for a project they aren't actively assigned to, they're probably listed as a project participant in the Resources section. Participants receive notifications for all project activity until they're manually removed.

Why this happens

A user becomes a project participant when they're:

  • Added directly to the project's Resources › Resource Allocation table, or

  • Assigned to a task in the project.

Removing or deleting a task assignment doesn't remove them as a project participant. They stay in the Resources table until someone removes them manually.

Example: A user is assigned to a task early in the project, then reassigned or removed from it. Their participation isn't cleared along with the task, so they keep getting notifications even though they no longer have an active role.

Remove a participant to stop their notifications

  1. Open the project and go to the Resources tab.

  2. Under Resource Allocation, expand the relevant section, such as Business or Learning.

  3. Find the user's name and click the three-dot menu (⋯) next to it.

  4. Select Remove Participant.

The user will no longer receive notifications for that project.
