Why can't I see or find some requests?

If a request seems to be missing from your Requests page, the most common cause is a filter that's still applied — either a quick filter or a filter left on in the sidebar.

Less commonly, the request may be archived, or you may not have visibility into it based on your role or business unit.

Work through the steps below in order.

Step 1: Check your Quick Filters

At the top of the Requests page, you can enable/disable two quick filters:

  • My Requests — shows requests where you're the requester, request owner, reviewer, or a designated approver on an approval gate.

  • Open — shows requests that are In Review, Waitlisted, or Pending Approval. Once a request moves to Approved, Declined, or Completed, it drops off the Open filter.

Step 2: Check the Filter Sidebar

Beyond the quick filters, the Filter button opens a sidebar where you can stack multiple filters — by status, business unit, form/request type, priority, and more.

These filters persist on the page until you manually clear them, so it's easy to forget one is still active from an earlier search.

Fix: Open the Filter sidebar and clear all filters, then search again.

Step 3: Check whether the request is archived

Archived requests are removed from the active/default list to keep things clean, but they still exist. If a request was archived, it won't show up unless you switch to the dedicated Archived filter.

Fix: Toggle the view to show archived requests, or ask the request owner/admin if it was archived intentionally. Archived requests can be restored (unarchived) at any time.

What you should expect to see by default

What shows up in your Requests list depends on your role:

Who

What they see by default

Admins

All requests across the organization

Learning Team Users

Requests they own, requests owned by members of their team, requests they've submitted, and requests where they've been added as a reviewer

Business Users (requesters)

Requests they've submitted, and requests where they've been added as a reviewer. If the org has Display Team Requests for Business Users turned on, also: requests submitted by members of their team, and requests where the Business Unit matches their team

Other reasons a request might be missing

  • It was deleted. Deleted requests are permanently removed and won't appear under any filter. (Only Draft requests can be deleted directly from the list; other requests are deleted via the "..." or More Actions menu.)

  • It was cancelled. Cancelling keeps the request record but changes its status — check your status filter includes cancelled requests if you're looking for one.

  • It's waiting on an approval gate. If a request's form includes an Approval-type page, the request will show a Pending Approval status until a designated approver acts on it. It's still visible under the Open filter, but if you're filtering by a specific status instead, make sure Pending Approval is included.

  • You're not a Reviewer or Owner on it, and your role doesn't otherwise grant visibility.

Still can't find it?

  1. Clear all filters (quick filters and sidebar filters).

  2. Toggle on the Archived view.

  3. Search by request title or requester name rather than browsing.
