In Cognota, both learning team users and business users can submit training requests. Requests can be submitted directly from the Requests tab in the platform.
Submitting a Request
Step 1: Create a Request
From the Requests tab, click Create Request in the top right corner.
Step 2: Select a Request Type
You'll be taken to the Select Request Type screen, which shows all forms available to you. Each form displays its name and a brief description to help you choose the right one.
You can search for a specific form using the search bar. Select the form that best fits your request — this will highlight it and enable the Start Request button. Click Start Request to proceed.
Note: Business users will only see forms that have been configured for their business unit. Learning team users can see all available forms.
Note: Your organization may have both standard and legacy forms available. Selecting a legacy form will open a different form view. The submission steps are the same — fill out the required fields and submit when ready.
Step 3: Fill Out the Form
Once you've selected a form, it will open and prompt you to fill in the request details. The form title and description are shown at the top to confirm you've selected the right form.
All required fields are marked with a red asterisk (*). Fill out all fields as completely as possible to help your L&D team review and action your request efficiently.
Note: If you are a learning team user, you will also see a Business Unit field to populate. Business users will have this auto-populated based on their own unit.
Users will also have the option to make their draft visible to others by turning on the "Make draft public" toggle in the top right corner. This will allow learning team users to view the draft before it’s officially submitted.
Step 4: Save or Submit
When you're ready, you have two options:
Save — saves your request as a draft so you can return to it and complete it later. Drafts are visible in your main Requests list with a Draft status.
Submit Request — submits your request for review. Once submitted, your request will appear in the Requests list and the request owner will be notified.
If any required fields are missing when you click Submit Request, an error message will appear at the top of the form and the missing fields will be highlighted in red. Complete the highlighted fields and resubmit.
Viewing Your Requests
After submitting, you can view all of your requests — including their current status — from the Requests tab. Depending on your organization's settings, you may also be able to see requests submitted by others on your team.
Notifications
As a requester, you will receive a notification when:
Your request is updated
A new comment is added to your request
Your request is Approved, Waitlisted, or Declined
