Cognota gives you two ways to review and communicate the story of your project work: Flexible Dashboards and the Insights tab. This article walks you through both so you can choose the approach that best fits your reporting needs.
Who can use this?
Flexible Dashboards: Admins can create and manage dashboards. Admins can also share dashboards with non-admin users, who can view and interact with them in read-only mode.
Insights tab: Available to Admin users only.
Flexible Dashboards
Flexible Dashboards give you a customizable, shareable view of your project data. You can combine project insights with request, task, capacity, and user data all in one place — tailored to exactly what you need to report on.
How to Access Dashboards
In the left-hand navigation, select Dashboards
Click Create Dashboard
Give your dashboard a name
Click Add Insights to open the insight card catalog
Select cards from the Projects category (or mix in cards from other categories)
Click Add Selected — cards will appear on your dashboard
Drag and drop cards to arrange your layout
Click Save Changes
Available Project Insight Cards
The following insight cards are available from the Projects category in the catalog:

Filtering Your Dashboard
Apply filters across the entire dashboard to focus on a specific time period or team:
Click Filter at the top of the dashboard
Choose a timeframe and/or team(s)
Click Apply — all cards will update to reflect your selection
Drilling Into the Data
Every insight card is interactive. Click into any card to view the underlying record-level data behind the summary metric. From the drill-through view, you can also export the full data set as a CSV for further analysis.
Exporting Your Dashboard
Export your dashboard or individual cards to share insights with leadership or business partners:
Export full dashboard as PDF: Use the three-dot menu (⋯) in the top-right corner of the dashboard → Export PDF
Export a single card as PDF: Use the three-dot menu on the card → Export PDF
Export card data as CSV: Use the three-dot menu on the card → Export Data
Note: PDF exports only capture what's currently visible on screen. If a card contains scrollable content, use the CSV export option to capture the complete data set.
Sharing a Dashboard
Dashboards can be shared with other members of your organization, so stakeholders can access project insights without needing full Admin access.
To share a dashboard:
Open the dashboard you want to share
Click the Share button
Search for and invite users from your organization
Confirm permissions (view-only by default)
Click Save — invited users will receive an email notification with a direct link
For recipients: Shared dashboards appear in the Dashboards section of the left-hand navigation with a Viewer permission label. Viewers can interact with filters, drill-throughs, and PDF exports.
Insights Tab
The Insights tab provides a pre-built view of your project data, available directly from the left-hand navigation. While this view isn't customizable, it covers a comprehensive set of project metrics out of the box and requires no setup.
Note: The Insights tab and Flexible Dashboards currently coexist in Cognota. Over time, Flexible Dashboards will become the primary home for all reporting. We recommend building your reporting workflows in Dashboards to take advantage of customization, sharing, and richer data options.
How to Access
Navigate to the Insights tab in the left-hand navigation → select Projects.
Filtering Options
The Insights view can be filtered by:
Date
Priority
Business Unit
Process
What You Can See
The Projects Insights view includes the following metrics:
Total number of projects
Total number of projects that are: New, Cancelled, and Completed
Projects by priority
Projects by status
Projects by health
Projects by Process Board and stage applied
Total number of tasks
Tasks by status
