Change a User from Learning Team User to Business User [April 29, 2025]

Admins can now update a user from a Learning Team User to a Business User directly from the user's profile page.

To make this change, navigate to Settings > Users, open the user's profile, and click Change Type.

This will allow admins to:

  • Update user types instantly as roles evolve, without contacting support.

  • Manage access levels and license usage directly from the platform.

  • Reassign ownership before confirming the change to avoid gaps.

What changes when a user becomes a Business User

Business Users have a more limited access level. When the change is made, the following will happen automatically.

Access removed

The user will lose access to: Home, Insights, Programs, Design, Events, Budgets, Teams, and Settings.

Ownership and roles removed

The user will be removed as:

  • The owner of any requests, programs, projects, and designs they currently own

  • The default request owner on any request forms

  • The owner of any project templates

  • A facilitator on any events they are assigned to

  • A member of any learning teams they belong to

Reviewer reassignment

If the user was a reviewer on any requests, they will be automatically reassigned as a Business Reviewer on those same requests.

Required owner fields

If the user was the sole owner of a program, project, or goal (where owner is a required field), the owner field will display as "Owner required." For objects where ownership is not required, they will simply be removed as owner.

Paid license

Changing a user to Business User will free up a paid license on your account.

Important: review ownership before confirming

Admins will be shown a warning before the change is confirmed and advised to reassign any ownership ahead of time. Admins are not automatically notified of items left without an owner after the change β€” this review should happen before confirming. The affected user will receive a notification when their user type is updated.
