Exporting Data

Cognota allows you to export data across key areas of the platform as a CSV, giving you the flexibility to analyze, share, and report on your data outside of Cognota. Design exports also support additional formats including SCORM, xAPI, and PDF.

Exports are available from the following areas:

  • Dashboards

  • Projects

  • Requests

  • Tasks

  • Design

  • Budgets

  • Users

Projects

To export: select the checkboxes next to the projects you want to export, then click the Export button.

The export includes one row per project with the following key fields:

  • Project Number, Name, Status, Priority, Health, Owner

  • Learning Teams, Business Unit, Category, Process, Stage

  • Start Date, Target Completion Date, Actual Completion Date

  • Tasks Estimated Hours, Tasks Actual Hours

  • Allocated Budget, Estimated Cost

  • Linked Request IDs, Program Names, Linked Goals

  • Any custom fields configured for your account

Tip: Use the Tasks Actual Hours column to review total time logged per project. For a breakdown by team member, export from Project > Tasks instead.


Tasks

To export: open a project, go to the Tasks tab, click the menu, and select Export.

The export includes one row per task with the following key fields:

  • Task Number, Name, Status, Type

  • Project, Programs, Assignees

  • Start Date, Due Date

  • Demand (Estimated) Hours, Allocated Hours, Actual Hours

Note: If a task has multiple assignees, the export will show total hours per task rather than hours per individual. To see time logged by a specific team member, filter by their name in the Assignees column.


Requests

To export: select the checkboxes next to the requests you want to export, click More Actions, and select Export Requests.

The export includes one row per request with the following key fields:

  • Request Number, Title, Status, Type, Priority

  • Requester Name, Request Owner, Business Unit, Form Used

  • Creation Date, Submission Date, Decision Date, Last Update

  • Estimated Cost, Estimated Effort, Linked Projects

  • Form responses (exported as Question 1 through Question N, corresponding to the questions on the form used)


Budgets

To export: open a budget, click More Actions, and select Export Data.

The export includes one row per budget line item with the following key fields:

  • Description, Team, Program, Project

  • Budget Source, Vendor, Fiscal Year amount

  • Notes


Users

To export: select the checkboxes next to the users you want to export, click More Actions, and select Export Users.

The export includes one row per user with the following key fields:

  • User Name, Email, User Type, Admin status

  • Team, Job Title, Employment Type, Location

  • Hourly Rate, Account Status


Dashboards

To export: click into the drill-through of an insight card, then select Export Data.

Each card can also be exported as a PDF as it appears on screen from the card's menu.

Drill-through export fields vary by insight card category:

Projects

  • Project Number, Name, Status, Priority, Health, Owner

  • Business Units, Category, Programs, Process, Stage

  • Start Date, Target Completion Date, Actual Completion Date

  • Total Demand Hours, Resourcing Type

Tasks

  • Task Number, Name, Status, Type

  • Project, Programs, Assignees

  • Start Date, Due Date

  • Demand (Estimated) Hours, Allocated Hours, Actual Hours

Requests

  • Request Number, Title, Status, Type, Priority

  • Requester Name, Request Owner, Business Unit, Form Used

  • Creation Date, Submission Date, Decision Date, Last Update

  • Linked Projects

Capacity Management

  • Name, User Type

  • Task Number, Title, Status, Type

  • Allocated Hours, Actual Hours

  • Project Title, Business Units, Programs, Project Teams, User Teams

Users

  • Name, Email, Type, Role, Job Title, Job Functions, Skills

  • Learning Teams, Default Capacity Hours, Capacity Hours

  • Allocated Hours, Actual Hours, Available Hours, Scheduled Hours, Time Off

  • Created At, Last Login Date
