Facilitation Management allows you to effortlessly plan, manage, and share learning schedules across your team, making it easier than ever to get the right facilitator to the right event, every time.

This tool is designed to consolidate workflows, eliminate errors, enhance transparency, and streamline your facilitator scheduling. Here’s a quick look at what’s possible:

  • Modern Scheduling to Work Quickly: Plan and share your yearly schedule of learning events in one place, accessible by everyone on your team.

  • Skill & Capacity Planning Made Simple: Assign facilitators based on skills, location, and language—all visible at a glance.

  • Eliminate Conflicts: Avoid frustrating scheduling conflicts by viewing facilitator commitments in real time.

Different user roles have different permissions when it comes to event creation and management:

  • Facilitator users can create, edit, and delete their own events.

  • Team Managers can create, edit, and delete events for facilitators within their team.

  • Admins have full access to create, edit, and delete events for all facilitators.

This ensures the right level of control and visibility for every role involved in facilitation planning.

Users can create learning events by following these steps:

  1. Cognota > Events

  2. Click Add Event.

  3. Fill out the required details

    • Title, Type, Start/End Dates, Repeated

    • Assign Facilitators, Project(s) (optional)

  4. Click Save.

Events can be viewed by Today, Week, Month, Monthly Calendar, or Year. Regional holidays can also be toggled on for facilitators in the Facilitators view, giving you better visibility into availability across locations.

Once a facilitator is assigned to an event, they can log into Cognota to see their event schedule. They can also be assigned tasks within projects, which they can track under the Projects and Tasks tabs.

Please note:

  • Facilitators must first be invited to Cognota (using a paid licence) to be assigned learning events.

  • Learning Team Users can be made Facilitators by enabling the toggle in their profile.
