Cognota's Task Management system offers a comprehensive suite of features designed to streamline project workflows and enhance team collaboration. Below is a breakdown of key functionalities:

Creating Tasks

Tasks can be created in various ways to suit different project needs:

  • Direct Addition: Within a project, navigate to the Tasks section and select "Add Task" to input task details manually.

  • Import File: Within a project, navigate to the Tasks section and select "Import From File" from the More Actions menu.

  • Using Task Bundles: Task Bundles allow for the creation of predefined sets of tasks that can be added to projects either during project creation or while in progress. This feature reduces manual entry and ensures consistency across similar projects. To set up Task Bundles:

    1. Go to Settings > Configurations > Projects > Task Bundles.

    2. Click on Add Bundle.

    3. Provide a Title and Description for the bundle.

    4. Under "Build Bundle," select + Add Task to define each task's title, type, estimated time, and description.

    5. Save the bundle.

    To apply a Task Bundle to a project:

    • During project creation, select the desired Task Bundle from the dropdown menu.

    • For existing projects, navigate to the Tasks tab, choose "More Actions," and select "Import From Bundle."

Task Hours Tracking

Accurate time tracking is facilitated through the following features:

  • Daily Time Logging: Task assignees can log the actual time spent on tasks daily, allowing for precise tracking throughout the task's duration.

  • Hours Log Access: Both Task Assignees and Project Owners can input and review time entries, with the system automatically calculating the total actual hours spent on each task

Task Dependencies

Managing task sequences is streamlined through task dependencies:

  • Defining Dependencies: On the Task Detail page, specify if a task is dependent on another or if it blocks another task.

  • Auto-Shifting Dates: When a task's start, due, or completion date changes, Cognota can automatically adjust the dates of dependent tasks, maintaining the intended schedule flow.

  • Preview Changes: Before confirming, users can preview impacted tasks and their updated dates, ensuring informed decision-making.

Exporting Tasks

Task data can be exported from the Project > Tasks and centralized Tasks tab by using the More Actions > Export tasks option.
